Terms and Conditions

1. Booking and Payment Terms

  • Full Payment: Full payment is required at the time of booking to confirm your reservation. Any additional time or services requested during the tour will be charged at the conclusion of the service.

  • Accepted Payment Methods: We accept American Express, Visa, and Mastercard, including both debit and credit cards. 

  • Tips: Tips are not included in the tour price. Guests may tip in cash or choose to add a tip to the card, which will be processed at the end of the tour.

2. Payment Security

  • Data Protection: At US Capital Tours, we take your privacy and security seriously. All payment transactions are processed through secure and encrypted systems to ensure the highest level of protection for your personal and financial information.

  • Payment Information: We do not store your payment details on our servers. All credit and debit card transactions are handled by trusted, third-party payment processors who comply with the highest security standards, including PCI-DSS (Payment Card Industry Data Security Standard) compliance. 

  • Fraud Prevention: We monitor transactions for potential fraud and may contact you for verification to protect your payment information.

3. Cancellation and Refund Policy

  • Customer Cancellation: If you need to cancel your tour, a refund will be issued, minus a $100 cancellation fee, provided we receive notice at least 24 hours before the scheduled tour.

  • Cancellations made within 24 hours of the tour are non-refundable.

 

4. Rescheduling Policy

 

  • Customer Rescheduling: Customers can reschedule their tour at no additional cost if they provide notice at least 24 hours before the scheduled tour. Rescheduling requests made within 24 hours of the tour may be subject to availability and additional fees.

  • Company Rescheduling: US Capital Tours reserves the right to reschedule any tour due to weather, guide availability, or other unforeseen circumstances. In such cases, customers will be offered a new date or a partial refund.

5. Liability Disclaimer

 

  • Customer Responsibility: US Capital Tours is not liable for any personal injury, loss, or damage to personal belongings during the tour. Participation in tours is at the customer’s own risk. 

  • Weather or External Factors: US Capital Tours is not responsible for delays or changes to the itinerary caused by weather, road closures, or other external factors beyond our control.

 

6. Health and Safety 

 

  • Customer Health: By booking a tour, customers confirm that they are in good health and physically able to participate in the tour. Customers are responsible for informing US Capital Tours of any medical conditions or mobility issues that may require special accommodations.

 

7. Special Requests and Add-Ons

 

  • Hotel, Meal, and Activity Add-ons: US Capital Tours will make every effort to accommodate special requests such as hotel recommendations, meal options, and additional activities. However, these requests are subject to availability and cannot be guaranteed.

  • Transportation Add-ons: Private transportation options are available upon request and may incur additional fees. Pickup times and locations will be confirmed at the time of booking.

 

8. Transportation and Timing

 

  • Pickup and Drop-off: For transportation-only services, customers are required to be at the designated pickup location at the confirmed time. If a customer is more than 30 minutes late, the service may be cancelled without a refund. For tours, customers must be at the designated pickup location at the confirmed time. If a customer is more than 1 hour late, the tour may be cancelled without a refund.

  • Delays or Changes: The itinerary or schedule may be adjusted to accommodate delays caused by traffic, road closures, or other unforeseen circumstances. We appreciate your understanding in these situations.

  • Pickup Location Changes: If you need to make last-minute changes to your pickup location, please contact us as soon as possible. We will do our best to accommodate such changes, but they are subject to availability and may cause delays in the schedule.

 

9. Tour Inclusions

 

Each tour includes:

  • Tickets for museums and all visited locations 

  • Complimentary water and snacks 

  • Expert tour guide services with insightful and engaging commentary 

  • Professional transportation during the tour and drop-off after the tour 

  • Special accommodations, if applicable, including accessibility options

 

10. Terms of Conduct

 

  • Behaviour Expectations: All guests are expected to conduct themselves in a respectful and courteous manner throughout the tour. Disruptive or inappropriate behaviour may result in the removal of the guest from the tour without refund.

  • Alcohol and Smoking: Smoking and the consumption of alcohol are not permitted during the tour unless otherwise specified (such as at designated stops where alcohol is served).

 

11. Governing Law and Amendments 

 

  • Governing Law: These Terms and Conditions are governed by the laws of the US. 

  • Amendments: We reserve the right to update these Terms and Conditions at any time. Changes will be posted on our website and apply to future bookings.
